notebook.moto-notes.com (Notebook for short) allows you to record all expenses and repairs of your vehicle. Notebook also helps you remember about necessary changes and obligatory service or renewing insurance policy. It enables you to keep under control fuel usage of your car or motorbike.

1. How it works...

Notebook circle Notebook is an internet application, which is recommended to use often and systematically. Only then most facilities can work properly, e.g. reminders about mileage will work correctly, if the mileage is updated systematically. The picture provided shows how it works – you add notes, update the mileage, write down reminders . In an adequate moment the system sends you an email with an appropriate reminder. Then you take notes, make a new reminder about the mileage and (or) a date, etc. At any time you can analyse your notes, sum up costs and you do it until you are so satisfied with our application that you recommend it to your friends.



2. Application arrangement, menu, navigation

Navigation at moto-notes The application is part of moto-notes.com, that is why its arrangement and appearance is similar to the other parts. Possible places of navigation are shown in the picture provided. Look below at the explanations of particular parts:

  1. Logo of the system
  2. Navigation between particular tools (parts) - no more available
  3. Logging, registration, help. When the user logs in the system, the menu changes into: log out, profile, help.
  4. The forth in the hierarchy is menu which takes all the logged users to the starting page of Notebook, the list of user's vehicles and to the analyses.
  5. From this point, you can easily switch between the vehicles that you have in the system.
  6. Main menu, in this part of the system, allows you to manage your vehicles – it means that you can put new vehicles into the system and browse the list of your vehicles. On this level you can also choose a required option.
  7. After you have chosen the vehicle, you automatically have access to different options concerning the vehicle.

There is also a footer from which you have access to information of the system, for example about us, private policy, the rules and regulations, contact.



3. The most relevant navigation places in details

3.1. Menu of application choice

Menu of application choice The menu contains a list of applications which make moto-notes.com system. Each user, who has got an account in one application, automatically has access to the other accounts.
Below the menu of application choice there are flags which enables to choose the language.

3.2. Upper menu

Upper menu After logging the upper menu offers three items to use:
Main page
passing to the main page with a description of Notebook application.
Vehicles
passing to the list of vehicles of the current user
Analyses
passing to the list of notes about all the vehicles

3.3. Left menu

Left menu The left menu changes rapidly. Example: when a user has chosen a vehicle from the list of all their vehicles, the options of adding a note, adding fuelling, etc. are relevant to this vehicle.
In the picture provided you can see a developed menu for Toyota Avensis, which is our example vehicle.

The options which appear in the left menu, in the example picture:
New vehicle
Adding a new vehicle form

Passing to the list of vehicles of the current user (like in the upper menu)
Name of vehicle (Toyota Avensis in our example)
If you click the header which is a name of a vehicle, you are passed to your vehicle description – it is a page with all the information about your vehicle.
New note, fuelling, reminding
A group of options used to make a service note (e.g. writing down the date of oil change), write down information about fuelling and add reminders (e.g. information that your car service is due on 14th March).
Analyses
Browsing of all notes, fuelling and reminders about a particular vehicle.
Vehicle edition
Vehicle data change – name, vintage, and the like
Delete vehicle
Deleting a vehicle – this operation is irreversible
Notes export, import
These options enables to export and import data from and to .csv files. Csv files are text files in which columns are separated by commas. Such files can be generated by MS Excel, Open Office Calc, etc.


4. Registration and logging

To start the work and fully take advantage of all the applications of our system, you have to register and then log in the system. Otherwise the notebook.moto-notes.com system will only provide you with information about applications and give you access to the data in the footer (for example Rules and Regulations).
The registration process is quick and painless ;-). There are two stages of the process. Firstly, you fill in the registration form, then get an email with your password and further instructions. It is necessary to read and accept the rules and regulations and private policy of the system. Registration in the notebook enables to take advantage of all the other parts of moto-notes system, particularly the forum, where you can ask questions about the system.
If the registration process is successful and you log in the system, the programme welcomes with the starting page – see next point.

5. Possible activities after logging

5.1 Adding a vehicle

To add a new vehicle you need to click "Vehicles" in the menu (4), then in the main menu (6) you should click "New vehicle". All the fields which are required to be filled are marked with a red stripe placed next to the field label. If you cannot find the make, model or version of your vehicle, you should choose the implicit position, that is "moto-notes", for each or one of the fields. Then let us know what vehicle we should add to the database. To do this, click link "there is no my vehicle on the list".
The extra information block is not obligatory to fill in. Anyway we recommend to attach pictures of your vehicles. we are planning to organise different interesting competitions.
After the vehicle is approved, you are passed to a page with a special picture named "the health of your vehicle", where you can easily check if your vehicle requires any intervention (more information in the further part of the text).

5.2 Choosing a vehicle

If you own more than one vehicle (for example a car and a motorbike), you can switch between them by choosing list of the vehicles in the menu (6) and clicking your vehicle name.
Another way of switching between the vehicles is to use a switch (5) which allows you to enter your vehicle context at once.
If you choose a vehice as a default one, you find yourself in its context once you log in the system. The same happens when you use the list of vehicles – left menu (7) applies for the default vehicle, or, if there is no an default vehicle, the first vehicle on the list.

5.3 Adding notes

Adding notes is one of the main facilities. A note is a written down text about a past event concerning your vehicle. The note contains the date of the event, at what mileage it happened, description of the event and its cost. Repairs and other road events (puncture, fines) can be the example notes. Taking notes of such events together with their costs will enable you to analyse and control your expenses (for example, at the end of the year you will be able to sum up all the operating costs). In addition, if you add the meter state, it will be updated regularly unless you accept such a case.
Do not confine yourself...you can add any other notes without restrictions, for example when you last made love in your car ;-).

5.4 Notes edition

Notes edition is described separately because it has got extra facility – with the use of "save and create reminder" button, you can save your note and, at the same time, make a new reminder on the basis of the note.

5.5 Adding fueling

Adding fuelling is a special type of note. It is recommended to fill all the fields – only then the note is complete and can be used for your analyses (for example for summing up costs of vehicle exploitation) and calculating an average consumption.

5.6 Adding reminders

Reminders are a clue facility of Notebook system. There are two types of reminders:

connected with time
a note in which a date attached and a special mark "remind near this date" will be sent to the user via email twice: seven days and one day before the date. Moreover, the note will be shown in the system in the analyses and in the picture "health of your vehicle" marked in two colours – yellow, if the first reminder has been already sent, and red, if the note is expired. Green colour means that your car is safe and you still have a lot of time.
connected with mileage
Thanks to regular mileages updates, it is possible to remind the user about all the activities connected with mileages, such as oil change (for example after every 15,000 km). The reminder is sent to the user 500 km and 50 km before, and, like in notes connected with time, it puts on adequate colours.

After you have got the email with the reminder and followed the instructions, you can close the reminder. Then it is deleted from the list and it disappears without trace. However, you will more often change the reminder into a note so as to write the details of activities such as operating costs or what was done and when. So, when you press "Convert to note" button and complete all the data in the form, again you will have two options: you can save it ("change" button) – it saves all the changes in the newly created note or you can save it and make a reminder ("save and create reminder" button) – it saves the notes and makes a new reminder.
To make things easier, once again read the steps to follow in a typical situation connected with reminders:


  1. add a new reminder about your vehicle service at mileage of 15,000 km
  2. the time of your vehicle service comes – you get an email and have your vehicle serviced
  3. change the reminder into a note, in which you write down the service costs, when and where the vehicle was serviced and what was repaired. Add new tags
  4. all the data in the note should be saved by pressing "save and create reminder" button. This way you easily and quickly save changes in the note and make a reminder. Remember to write down a new date and mileage at which your vehicle should be serviced next time.

5.7 Tags, tagging, keywords

Tags are clue words connected with notes and reminders. They help find, filter and categorise notes. There is a defined list of tags which, after clicking, are attached to the note (of course you can attach many tags to one note). If you add a word in a tag field, the word becomes your new tag and is attached to the list of tags. You will be able to use it next time you will work with notes and reminders. If you want to delete a tag so as not to attach it to the note, delete it in the edition field or click it again on the list (if you click it once, the tag is added, if you click it twice, it is deleted).
If you wish a tag that consists of two words, do not separate the words with a space (two tags become then). In such a case you should link the words with "-" or "_" marks (for example "car-service").
Tags are global, it means that you can see all tags, also those which are added by another user. This way your tags are seen by the others. Thanks to it will be possible to make global registers, analyses, rankings and the like. In addition, your ideas for tagging will migrate between the users.
To remind you, tags have got extra meaning – if one of the tags (e.g. insurance, engine, oil, service) is connected with a reminder, such a reminder appears in the picture "health of your vehicle" at the starting page of Notebook.

5.8 Analyses

It is a place where you can browse all you have written down earlier – notes, fuelling and reminders. Each item has got a different graphic marking. You can filter and browse the list, as well as sort the results by clicking the heading of an appropriate column (if you click again the heading of the column, it will make the order of sorting reverse, which is marked with a special pointer next to the name of the column). You always receive the summing-up of costs. At the level of the table you can easily enter the edition of your notes or you can just remove it. If you open the analyses at the level of the menu (7), which regards a particular vehicle, only the notes connected with that particular vehicle are visible on the list. If you enter the analyses in the menu (4), you will see all notes for all your vehicles.

5.9 Statistics

Expenses presented in graphical form. Fuel Consumption, fuel costs, service costs per month. Last 12 months are displayed.

5.10 SMS Services

SMS Services are only available in Poland! You can send SMS to Notebook from the gas station, and new fuel note will be added for you.

5.11 Vehicle report

Vehicle report contains listing of fuel, service or all notes for the current vehicle. Report may be published so it becomes accessible to everybody (no sign in required). This way, if you tend to sell your vehicle you are able to show potential buyer what and when was done in your vehicle.
Report, to be reliable, also contains full history of note changes, a list of removed notes and real dates of note creation. Thanks to it moto-notes.com can guarantee that report was not manipulated just before selling a vehicle.

5.12 Updating vehicle mileage

The vehicle mileage is usually updated when notes are added. The system always asks if it should update the mileage according to the mileage given in the added note. You can also do it quickly by clicking "mileage" (next to the name of a vehicle) which is in the analyses or at the starting page connected with the vehicle.

5.13 Edition and deleting a vehicle

At any time you can change the data of your vehicle or delete it. Remember that deleting is an irrevocable operation. If you delete your vehicle, all the notes connected with it will be removed either. You can read more details about it in 5.1. Adding a vehicle.

5.14 Export and import of notes

Notebook system enables to export notes to csv files (in such folders columns are separated by commas). The details are given in the export form. Export to a file enables to use the data exported in advanced processing in another programme (for example in MS Excel). The notes which are made outside Notebook system can be imported to the system.
